Position Summary

The Human Resources (HR) Support Specialist is responsible for providing administrative and program support to the HR team. This support includes data entry, administering HR activities, meeting presentation coordination and management, and complying with policies and regulatory requirements. The incumbent supports Technology Credit Union’s (Tech CU’s) HR team members and other Enterprise Service and Support (ESS) activities as needed to ensure excellent service delivery to employees and managers.

Responsibilities

Essential Duties

 

  • Performs data entry into HR Management System (HRMS), Applicant Tracking System (ATS), performance management system, and other ancillary HR systems, as needed, ensuring accurate and current employee contact, employment, organizational structure and compensation information
  • Initiates employment memos, including but not limited to job title changes, pay adjustments, and termination documents.
  • Maintains electronic employee (and historical physical) files, ensuring compliance with retention record requirements.
  • Assists with onboarding tasks, such as coordinating and conducting in-person and virtual employment eligibility verifications (Form I-9 and E-Verify), coordinating NMLS federal registration, and monitoring onboarding milestones.
  • Responds to request for non-income verifications of employment.
  • Updates position description information to various HR systems and maintains salary structure documents.
  • Coordinates and ensures version control of meeting presentation materials as assigned.
  • Coordinates event and meeting management such as meal and room reservations, and acts as on-site point of contact coordination as assigned.
  • Creates job postings.
  • Manages supplies for training meetings and workshops.
  • Distributes department mail.
  • Answers frequently asked questions from employees relative to policies, referring more complex questions to appropriate HR team members.
  • Maintains office supply inventory, and orders supplies as needed.
  • Provides support for periodic regulatory exams and internal/external audits.
  • Maintains procedures in areas of responsibility.
  • Supports Tech CU, the HR Department and the ESS group with other projects and responsibilities as assigned.

 

Work Schedule

  • Full-time; typically 40 hours/week
  • Flexible schedule within core business hours, M-F
    • Ability to be onsite on Monday morning starting at 9am, if needed, and on Tuesdays 9am
  • Flexibility to occasionally work early or late hours, and work extended weekend hours, typically with advance notice

Qualifications

Education:  Bachelor’s degree in business or equivalent experience.

 

Experience:  2+ years general office support required, with 1+ years HR team support.

 

Knowledge/Skills/Abilities: 

  • Meticulous attention to detail and high level of accuracy.
  • Strong business writing and verbal communication skills.
  • Solid proficiency in keyboarding and Microsoft Office applications, including Word, Excel and Outlook.
  • Strong knowledge of Microsoft PowerPoint.
  • Strong interpersonal skills with demonstrated ability to influence others to meet deadlines.
  • Strong organizational skills.
  • Strong ability to multi-task and prioritize.
  • Solid ability to deal sensitively with confidential information.
  • Strong service and team orientation.
  • Highly adaptive and open to changes as the organization grows and its needs evolve.
  • Familiarity with at least one major HRMS system such as UKG UltiPro, iCIMS and/or Cornerstone required.
  • Familiarity with DocuSign preferred.
  • Knowledge of HR-related regulatory requirements preferred.

 

Licensing/Professional Credentials:  Professional in Human Resources (PHR) or similar recognized HR certification preferred.

 

Travel:  Occasional local travel to other Tech CU locations or for professional meetings/training.  Infrequent (typically no more than once per year) overnight travel to attend professional conferences or participate in seminars.

 

Typical Working Conditions:  Office environment with employee/vendor interaction via phone or in person. May work remotely as determined by business need and individual performance.

 

Equipment Used:  Routinely uses standard office equipment, including computer, phone, copier and other devices.

 

Physical Requirements: 

  • Walks/stands 15% of the day.
  • Sits 85% of the day.
  • Keyboards and reads computer screen for 75% of time during which one is seated.
  • Mobility to attend meetings within office building and offsite.

Pay and Benefits

This is a grade 104 position, with a salary range from $69,200 to $96,800 with bonus potential of 7%. The anticipated range for new hires is between the low-end and midpoint of the range, depending on experience. Tech CU is a pay-for performance organization that benchmarks base pay to the 50th percentile of our market and we provide incentive-based compensation aligned with successful accomplishment of individual and corporate goals. The salary mentioned above is based on working in San Jose, CA. Salaries are based on the geographic location in which you live if working remotely.

 

Additionally, Tech CU provides health care benefits, life and disability insurance, 12 paid holidays and 401k with a company match; along with employee paid voluntary benefits. 5.54 Paid Time Off (PTO) hours accrue per bi-weekly paycheck (18 days per year) and will increase with length of service. Eight hours of Voluntary Time Off (VTO) are granted to full time employees annually to dedicate time to charitable organizations. Leaves of absences are available in adherence with state and federal regulations.
